Data deletion

You can ask for your data to be erased at any time, free of charge and without having to justify it. This page explains how, and what happens next.
If you are a patient of a practice
Your data — name, WhatsApp number, appointments and messages — belongs to the practice that treats you. They are the controller; we only run the software for them.
- The fastest route is to ask the practice directly: they erase your data from their own dashboard, immediately.
- If you prefer, write to privacy@elventia.com giving the name of the practice and the WhatsApp number used. We forward the request to the controller and follow it through. We do not erase patient data on our own initiative, because we are not the ones who decide about it — but we do not let the request disappear either.
Regardless of any request, WhatsApp messages are deleted automatically after 365 days. That is a system routine, not a favour.
If you are a customer (professional or clinic)
Write to privacy@elventia.com from the email registered on the account, stating whether you want to erase:
- the whole account — registration, calendar, patients and conversations; or
- patient data only, keeping the account active.
We acknowledge receipt and execute within 30 days. Before erasing we warn you, so you can export whatever you want to keep — afterwards it cannot be recovered.
What gets deleted
- Registration details and access credentials.
- Patients, calendar, appointment and service history.
- WhatsApp conversations stored in the system.
- The WhatsApp connection credentials, which are invalidated.
What does not get deleted, and why
- Invoices and tax records: Italian law requires us to keep them for a set period, even after the account is closed.
- Minimal technical access logs: kept for the statutory period, for security.
- Data in your Meta account: the WhatsApp Business Account is yours, and what sits there is not ours to delete. Ask Meta, through WhatsApp Manager.
Backup copies are overwritten in the normal rotation cycle, within 30 days.
If something is not resolved
If your request is not met you may complain to your supervisory authority — in Italy the Garante per la protezione dei dati personali, in Brazil the ANPD. Write to us first, though: it is usually faster.
